Privacy is of paramount importance to Keyfacts Canada. Wehave a clear understanding of the need for protection of personal data and we take extraordinary steps to protect it.

The following statement outlines guidelines and policies relating to the Security and Privacy of the Keyfacts Canada website and our handling of Confidential data. This statement also discloses what type of information is gathered, tracked and how that information is used.

Site Security

Keyfacts Canada has a long history of commitment to the security and protection of sensitive and confidential information contained within our in-house and Internet based systems. We use advanced firewall and SSL encryption technologies to protect the information that is sent to us via our websites and also returned to our clients.

To ensure that your visit to our site is private, when you browse the Keyfacts Canada website, information is not collected about your visit. You can browse our site without any tracking or privacy concerns.

When you log into our website (using a pre-arranged confidential User ID and Password), you enter into our secured area. This area is protected by Secure Sockets Layer (SSL) Protocol with the latest encryption available. This means that the information sent between your computer and our secure computer is encrypted or scrambled while it is in transit. Unauthorized individuals on the Internet cannot view the information. You can verify that you are in a secure area by clicking on the small "lock" or "Key indicator" located in the lower right hand side of your screen. This will confirm the Security Certificate is in place and the level of encryption you are working at.

User ID and Password

User ID and Passwords are issued through a "Security Supervisor" at our clients’ location. This ensures that only those authorized to have access will be granted the access. It is your responsibility to keep your User ID and password confidential
Users with User Name and Password access may only order information from our site. The computer that is authorized to retrieve confidential information (such as reports and handling notes) will have to have a valid digital certificate installed. Only with the combination of a user ID and password on a computer with a security certificate installed can access this data.

As part of our commitment to provide access to only those who are authorized, it is imperative you promptly notify Keyfacts Canada of any individual who is no longer authorized to access the website. Keyfacts in turn will then deactivate the User ID and password.

Passwords must be changed every thirty days. Any password not used in 30 days will become deactivated.

Data Processing

Keyfacts Canada uses proprietary databases within our own secure Wide Area Network. All information is treated as confidential and access is only given on a need to know basis. We do not outsource any aspect of our data processing and information is not shared with a third party without the written consent of our clients or where required by law.

Keyfacts Canada maintains extensities in-house privacy policies and all employees must review and sign their knowledge and adherence to these policies. All employees must sign confidentiality agreements, which are reviewed annually. Our Domain server governs our in house access and each individual only has access to the information they require to complete their day-to-day assignments.


Keyfacts Canada uses tracking software to monitor the usage of our website, however this is done for internal use only and the information collected is not sold or in any way distributed outside of Keyfacts Canada. This monitoring helps us determine the effectiveness of the site and helps with future design and programming changes. No personal information about the user or their computer is acquired during this tracking.

We do not use "cookies" to monitor the web usage of our site.

Collection, Use and Disclosure of Information

Keyfacts Canada adheres to the Canadian Standard Association model for Privacy.

Accountability – Keyfacts Canada is responsible for personal information under its control and has designate Daniel Fallows, 1-800-353-2049 as its Privacy Officer who is accountable for the organization’s compliance with the remaining principles;

Identifying Purposes – we only collects information for the purpose for which it was retained. No information will be collected unless the purpose is clear;

Consent – Keyfacts Canada obtains the knowledge and consent of the individual when required for the collection, use, or disclosure of personal information;

Limiting the Collection - the collection of personal information shall be limited to that which is necessary for the purposes identified by the organization. Information shall be collected by fair and lawful means;

Limiting Use, Disclosure and Retention
- personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. Personal information shall be retained only as long as necessary for the fulfillment of those purposes; which include maintaining files for audit purposes and consumer disclosure as required by law;

Accuracy - personal information shall be as accurate, complete and up-to-date as is necessary for the purpose for which it is used (recognizing that information is collected from fallible human sources);

Safeguards - personal information shall be protected by security safeguards appropriate to the sensitivity of the information;

Openness - an organization shall make readily available to individuals specific information about its policies and practices relating to the management of personal information;

Individual Access - upon request, an individual shall be informed of the existence, use and disclosure of his or her personal information, and shall be given access to that information. An individual shall be able to challenge the accuracy and completeness of the information and have it amended as appropriate;

Challenging Compliance
- an individual shall be able to address a challenge concerning compliance with the above principles to our Privacy Officer.
